AIM Capture Process

Scan

The first step is to scan and capture invoice data from paper, faxes, PDF files or other electronic formats and convert this data into a database, as well as XML format for web viewing. AIM Capture uses proprietary Neuroscripting™ technology combining optical character recognition (OCR) and auto-learning capabilities to extract invoice data down to the most detailed level. All vendor, product and service types and formats are supported.

Enhance

Once scanned, the invoice image is adjusted to improve and enhance image quality. This rigorous process eliminates costly errors and improves the accuracy and reliability of the data.

Extract and Validate

Raw invoice data is unstructured and unformatted. Most companies use zone-based capture techniques, which require invoice data to appear in specific "zones" for extraction. However, this technique requires significant configuration before a reduction in manual data entry can be realized. Furthermore, any change in invoice format will cause errors in the data capture process and require reconfiguration. Razorsight's Neuroscripting™ technology overcomes this hurdle by readily adapting to any unexpected changes in format.

Format and Export

Extracted invoice data is compiled into industry standard transaction formats such as EDI 810/811, XML, CABS, SECAB or CSV for seamless import into Cost Management ERP, accounting or workflow solutions. Competing data capture solutions zone invoices and then use a graphical user interface to map fields within a zone into a database schema. This approach does not offer the scalability to rapidly and accurately process thousands of invoices and millions of pages per month. In addition, if an invoice format changes, it requires laborious manual re-zoning in order to process the invoice. With Razorsight's intelligent data capture solution, a change in invoice format does not pose a challenge. Since AIM Capture understands the relationships among invoice data items, it does not matter where the data moves on the page. The result is the highest accuracy for data capture and the most robust platform available for large volumes of invoices.
